Frequently Asked Questions
Everything you need to know about the Pay Transparency Assistant, the EU Pay Transparency Directive, and its implementation in your company.
What does the Pay Transparency Assistant do?
The Pay Transparency Assistant is a digital solution that helps companies implement the EU Pay Transparency Directive (EU 2023/970). The tool analyzes your compensation structures, creates EU-compliant reports on pay gaps, and provides individual HR dashboards – so you can meet regulatory requirements efficiently and with legal certainty.
Who is the tool suitable for?
The tool is designed for companies of all sizes with employees in the EU. It is particularly relevant for employers with 100 or more employees who are required to report on the gender pay gap under the EU directive. But smaller companies also benefit from proactive preparation for upcoming requirements and a transparent compensation structure.
How does the data collection process work in the Data & Upload section?
In the Data & Upload section, you can easily and securely upload your HR and salary data – e.g. as a CSV or Excel file. The system automatically checks the data for completeness and consistency, detects missing fields, and gives you hints for correction. This ensures that the basis for your analyses and reports is accurate and reliable.
What exactly does the EU Pay Transparency Directive require?
The directive (EU 2023/970) requires employers to ensure pay transparency from the application process – for example by stating salary ranges in job postings. Employers with 100 or more employees must regularly report on the gender pay gap. If a gap of more than 5% is found that cannot be objectively justified, a joint pay assessment must be carried out with employee representatives. EU member states must transpose the directive into national law by June 7, 2026.
What are the reporting deadlines?
Reporting obligations are introduced in stages: Companies with 250+ employees must report annually from June 2027 (based on 2026 data). Companies with 150–249 employees report every three years from June 2027. Companies with 100–149 employees must report for the first time by June 2031 – then every three years. The Pay Transparency Assistant helps you meet these deadlines and be prepared in time.
Does the directive also apply to companies outside the EU?
Yes – if a company is based outside the EU but employs more than 100 people in EU member states, it must fulfill the reporting obligations of the respective countries. The directive is also expected to apply to EEA states (Iceland, Liechtenstein, Norway) once it has been incorporated into the EEA Agreement.
What reports does the Pay Transparency Assistant create?
The Assistant creates all reports required by the EU directive, including: the gender pay gap in base salaries and variable compensation components, the gender distribution in salary quartiles, the median gender pay gap, and the proportion of women and men receiving supplementary benefits. All reports are exportable and can be submitted directly to the competent supervisory authority.
What happens when a gender pay gap of over 5% is detected?
If the analysis reveals a pay differential of more than 5% that cannot be objectively justified, the Pay Transparency Assistant supports you with the required Joint Pay Assessment. The tool identifies affected employee groups, provides detailed statistical analyses, and helps document the measures – so you can take targeted action.
How is my data stored?
Your personnel and compensation data is stored encrypted in the Azure region Germany West Central (Germany), and the backups remain there too. We process the data solely on your behalf under Art. 28 GDPR and not for our own purposes. Retention and deletion periods, as well as the return and deletion of data after the contract ends, are governed by the data processing agreement.
How quickly can the tool be implemented?
Implementation is usually possible within a few days. After uploading your data, the Pay Transparency Assistant automatically creates initial analyses and dashboards. Our team supports you during setup and is available for questions at any time – including an onboarding session and a personal contact person.
What data do I need to provide to get started?
To get started, you need basic HR and salary data of your employees: gender, job category or job family, base salary, variable compensation components, and any additional benefits. Our data upload assistant guides you through the process step by step and automatically checks data quality.
How much does the Pay Transparency Assistant cost?
Costs depend on company size and the desired scope of services. We offer individual packages tailored to your needs. Contact us for a non-binding offer or book a demo directly to get to know the solution.
